Policy #6.4-Borrowing and Using School Equipment by Non-School Group

BORROWING AND USING SCHOOL DEPARTMENT                          6.4

EQUIPMENT BY NON-SCHOOL GROUPS

Borrowing and using School Department equipment by non-school groups is permitted as a vehicle of school-community relations subject to the regulations of the Audio Visual Department.

1. All requests for such use are to be made to the A.V. Coordinator's Office for his approval. Such requests must be made in writing at least one week in advance of the planned use.

2. No equipment may be borrowed unless the responsible requesting party is associated with the Millis School Department, other municipal department, or is a resident of Millis representing an organized group in the Town.

3. The borrowing party must complete a request form which is available at the A. V. Coordinator's Office.

            a.         Accept responsibility for the return of all equipment promptly and in its   original condition as borrowed and be financially responsible for the cost of any repair resulting from loss or damage while in use.

            b.         Agree to compensate school personnel or student technicians when the A. V. Coordinator may feel it is necessary to have such persons present during the         event.

            c.         Agree to pick up and return all borrowed equipment to its original location             during the hours of the usual school day.

            d.         Agree to purchase for their own use expendable parts such as projector      bulbs, spot light bulbs or color discs which fail during the period of use.

4. No equipment will be approved for loan under circumstances which would deprive the school children of any service due to the absence of such equipment from the school facility.

5. The School Committee under the direction of the A. V. Coordinator reserves the right to approve or deny any request and the opinion of the A.V. Coordinator shall be final. The previous record of the borrower in complying with these regulations shall be a major consideration in granting approval.

6. These regulations also apply to any portable cable system equipment which is available from the School Department.

7. Unexpected equipment breakdowns may result in denial of equipment.
